What you'll do
Create a customer-ready Quote from the Price Book, send it by email or SMS, and convert an approved offer into either unscheduled one-off work or a Subscription setup draft.
Before you begin
- Create the customer in Contacts and add reusable catalog choices in the Price Book.
- You need Quote permissions for the actions you plan to use. Sending, approving on a customer's behalf, converting, and closing are separately permissioned.
- Add an email address or phone number to the Contact before sending through that channel.
Build the Quote
- Open Quotes and click New Quote.
- In Quote Settings, select the Recipient and optional Opportunity.
- Under When approved, create, choose One-off Job or Subscription.
- For a recurring offer, select the Frequency and complete the agreement, billing, cadence, first-service, preferred-time, and future Job coverage settings.
- Add one or more Line Items from Services, Materials, Packages, or Discounts, or add a custom line.
- Adjust permitted quantities, rates, descriptions, durations, order, tax, customer message, and terms. Keep office-only notes in the private notes area.
- Choose Save Quote Draft or Save & Send.
The builder is the live customer-document preview. There is no separate draft Preview page.
Send and revise securely
From the Quote detail page, use Send by Email or Send by SMS. Sending freezes the current revision, binds access to the exact destination, and replaces any older public link. A new recipient browser must request and enter the six-digit verification code before commercial details, PDF, approve, or decline actions are available.
If the offer changes, choose Create Revision, edit it, and send the new revision. The previous public link is revoked. Price Book changes do not rewrite an existing Quote revision.
Record approval and find the result
A customer can approve after verification. An authorized user can instead use Approve on Customer's Behalf after checking the confirmation box.
- A one-off approval creates one draft Job with an Unscheduled Visit. Find it in the Approved Work - Needs Scheduling queue and schedule the Visit.
- A recurring approval creates one draft in Subscription Setup Required. Open it, review and save the recurrence and ordered Visit preferences, then activate it.
- Successful conversion marks a linked Opportunity won and updates its value to the approved total.
Approval is retained if work creation fails. Use Retry Conversion after correcting the problem; retries are designed not to duplicate the target.
Close without changing the Opportunity outcome
Withdraw and Mark Expired revoke the public link. Customer decline, withdrawal, and expiry do not mark the linked Opportunity lost; update the Opportunity's business status separately when appropriate.
