Run and Complete a Job on Mobile
Use the Mobile Job workflow to start assigned work, notify the customer, record arrival and documentation, complete Checklists and Line Items, collect payment, and complete the Visit.
Start or view the Job
- Open Schedule and select the Job.
- Review the Contact, assigned technicians, Line Items, notes, and scheduled time.
- Select Start Job.
Start Job immediately clocks in the assigned user and opens the Job. There is no extra confirmation step.
An unassigned user with permission to view all Jobs sees View Job instead. Viewing Only mode allows inspection of Overview, Checklist, and Finalize, but blocks arrival, customer messages, notes and media changes, Checklist and Line Item changes, payment, and completion. Assignment is required even when the viewer can update other Jobs.
Overview: travel, arrival, and notes
On Overview:
- Enter an ETA or use your current location to calculate one.
- Send On My Way when appropriate.
- Select Mark Arrived when you reach the site.
- Record Job notes and save them.
- Add or remove image documentation as needed.
Location permission is optional. If it is denied or unavailable, enter the ETA manually. On My Way uses the standard customer text and requires a usable customer phone number and SMS preference. If the text fails, check those Contact details before retrying.
Arrival and On My Way status apply to the selected Visit, not to sibling Visits on the same Job.
Checklist: record and finish the work
Open Checklist and work through the Line Item cards.
- Crewvana groups required Checklists under their source Line Items.
- Complete checkbox, text, long-text, and selection fields as shown.
- Add optional notes where available.
- Save the Checklist responses.
- Complete a Line Item only after its required responses are filled in.
The first Checklist card starts open. Expand other cards as needed. A Line Item with no Checklist can be completed directly. Completion applies to this Visit's execution assignment; sibling Visits retain their own work state.
If Crewvana reports missing required answers, open the indicated Checklist, complete the blank fields, save, and try the Line Item again.
Finalize: review totals and payment
Open Finalize to review Checklist readiness, Line Item completion, subtotal, tax, total, paid amount, and balance.
Payment remains locked until all Line Items are complete. Depending on the tenant and Contact setup, Collect Payment can offer:
- Email or text of the existing secure payment link
- A saved Stripe card
- Adding a Stripe card
- Recording cash, check, or Venmo
- The tenant's Venmo QR image
Use the payment method actually received. A full payment refreshes the balance to zero and disables further collection. Payment-link delivery and direct payment recording are separate actions.
Complete the Visit
An assigned technician can select Complete Visit after the required Checklist responses and payment conditions are satisfied. Crewvana completes and clocks out that Visit.
The parent Job completes only after no required sibling Visit remains. If more work is scheduled, Crewvana shows the remaining count instead of marking the whole Job complete.
Use the Job header's back action to return to Schedule. It returns there directly even if you opened the Job from a link or refreshed it.
Troubleshooting and recovery
- Viewing Only: the current user is not assigned to this Visit. Ask an authorized scheduler to correct the assignment rather than attempting changes as a viewer.
- On My Way failed: confirm the Contact phone and SMS preference, then retry with a connection.
- Location denied: enter ETA manually; location access is not required.
- Line Item will not complete: fill every required Checklist response and save again.
- Payment is locked: complete all Line Items first.
- Complete Visit is blocked: review incomplete Checklists, Line Items, and the remaining balance shown by Crewvana.
- Connection interrupted: reconnect and refresh before repeating a write. Do not assume a note, Checklist, payment, or completion was saved until Crewvana confirms it.
