Permissions

  • checklists.view opens the Checklist activity and template pages.
  • checklists.create creates templates.
  • checklists.update edits template structure.
  • checklists.delete controls destructive template actions.
  • checklists.review marks a completed instance reviewed or flagged.

Field technicians also need access to their assigned Visit and calendar.update to save Visit responses on mobile.

Create a template on desktop

  1. Open Checklists and choose Templates.
  2. Select New to create a base Checklist and open its editor.
  3. Add items in the required order. For each item, choose its input type, whether it is required, whether notes are allowed, and any option values.
  4. Save the editor.

Template definitions and field responses are separate, but historical responses still reference the live template items. Before deleting an item or changing its input type, consider how the change will affect interpretation of existing work.

Attach the template

Attach Checklists to a Price Book Group or Item so selected work receives them automatically. A Checklist can also be attached directly from a Contact or Job workflow. Crewvana deduplicates template sources when it builds the Job/Visit display.

For multi-Visit Jobs, use the Job's Visits section to confirm which Visit owns each Checklist instance. Reassignment is limited to another Visit on the same Job and rejects a duplicate template at the destination.

Complete field responses

An assigned technician opens the Visit on mobile, selects Checklist, enters values and notes, and selects Save Checklists. Required answers must be present before the related Line Item and Visit can be completed. Optional items may remain blank.

Responses are attributed to the acting technician and belong to the concrete Visit instance. See Complete a Service Visit on Mobile for the full execution sequence.

Review completed work

  1. Open the Checklists activity tab at Checklists.
  2. Filter by template, technician, progress, or review state.
  3. Open a row to inspect the Job, Contact, technician, progress, responses, notes, attribution, and review history.
  4. With checklists.review, mark it Reviewed or Flagged for Review.

Pending Review is computed when a completed Job has all required answers and no stored review decision. It is not a separate saved status. The activity grid distinguishes In Progress, Pending Review, Flagged for Review, Reviewed, and Not Completed.

If something is missing

  • No template on the Visit: confirm the selected Price Book Group/Item or direct Job attachment and the Visit assignment.
  • Cannot complete work: find every required item marked Needs Input, save responses, then retry the Line Item.
  • No pending review row: confirm the Job is completed and all required answers are present.
  • Cannot review: ask an administrator for checklists.review.
