Understand Jobs and Visits

A Service Job owns the customer, property, commercial Line Items, notes, totals, invoice, and payment state. Each Visit owns one dispatch: its date, time, duration, status, technicians, check-in/out state, and Checklist instances.

calendar.create is required to create a Job. calendar.update is required to edit its Job and Visit graph. calendar.delete is separately required for eligible destructive deletion.

Create one-off work on desktop

  1. Open Schedule Job.
  2. In Customer, choose the Contact, service address, communication records, and optional Opportunity.
  3. In Work, add Services, Materials, Packages, and Discounts. Choose whether sales tax applies.
  4. In Schedule, set the first Visit's date/time and active, schedulable technicians. Select Add Visit for additional dispatches.
  5. Choose Save Draft to retain incomplete planning, or Schedule Job to commit scheduled work.

This page creates one-off work. Use a Subscription for recurring service and a Quote when customer approval must happen before scheduling.

Failed validation returns to the relevant step with the submitted Job graph intact; Crewvana rolls back the failed write instead of leaving a partial Job. Fix every reported technician, time, or required-field error and submit again.

Manage an existing Job

Open the Job from Calendar, then use its edit page to change Job-owned details. The Visits section can add, update, reorder, cancel, restore, or remove eligible Visits and can move a Checklist instance between Visits on the same Job.

  • Every Job retains at least one Visit, and the default or only Visit cannot be deleted.
  • An unscheduled Visit has no start/end time and does not appear as a Calendar block.
  • Completed Visits and Visits with Checklist answers or check-in/out history are retained; cancel eligible work instead of trying to delete its history.
  • Completing one Visit keeps the parent Job In Progress while another required sibling remains. The last required Visit completes the parent Job.

Cancel safely

  1. Choose a cancellation reason and scope.
  2. For Subscription work, confirm whether the action affects only this occurrence or also eligible future generated work.
  3. Choose the customer notification channel, including Skip when no message should be sent.
  4. Confirm the final request.

Completed, invoiced, paid, checked-in, Checklist, media, and compensation history is protected. Crewvana reports future work it could not cancel. Physical Job deletion is limited to history-free draft/quoted graphs.
