What you'll do

Build a reusable catalog for quoting, Jobs, and recurring service while keeping future catalog changes separate from already-snapshotted commercial records.

Before you begin

You need Price Book permission. Plan the customer-facing names, default selling prices, internal costs, durations, and any reusable Packages or Discounts before entering the catalog.

The Price Book stores catalog choices; it is not an inventory or purchasing system and does not track quantity on hand.

Organize Services and Materials

  1. Open Price Book.
  2. Choose Services or Materials.
  3. Click Add Group to create a top-level category.
  4. Open a Group and use Add Folder for another level when needed.
  5. In the final Group, click Add Item.
  6. Enter the customer-facing name and description, optional image, Default Price, Default Cost, Default Duration, and any Checklists that should be copied to Jobs.
  7. Click Save Item.

Use Groups and Folders for navigation rather than repeating the category in every item name. Renaming a Group changes its canonical Price Book URL.

Create a Package

  1. Open the Group that should contain the Package.
  2. Click Add Package.
  3. Name and describe the Package.
  4. Search the combined catalog and select Services, Materials, and Discount lines.
  5. Set quantities for selected lines and review the recalculated selling price, cost, and duration.
  6. Save the Package.

Packages can combine multiple catalog Items and Discounts. Totals apply item-level discounts and selected Package Discount lines, and they never go below zero.

Configure Frequencies and Discounts

  • Use Frequencies for reusable recurring-service choices. Set the interval, active state, description, sort order, and included Discounts. A Frequency is a catalog plan; a customer's Subscription is created later from it.
  • Use Discounts for reusable fixed or percentage reductions. Active Frequencies and Discounts are offered in current Quote and Subscription authoring.

Know what changes later

Jobs, Subscription definitions, and Quote revisions copy catalog values into their own records. Editing a Price Book Item, Package, Frequency, or Discount affects future selections; it does not silently reprice an existing Quote revision or protected Job/Subscription history.

Deletion is hard deletion in the catalog and different record types have different downstream references. Prefer deactivation where the UI offers it, and review related use before confirming any delete action.
