Manage Users, Roles, and Teams

Use the three Users settings tabs to control account access, permissions, scheduling eligibility, and team membership.

users roles teams permissions administration

Use the right tab

Open Settings > Users.

  • Users: create and edit employee accounts, active access, scheduling eligibility, role membership, team membership, calendar color, and commission rate.
  • Roles: create responsibility-based permission sets and assign members.
  • Teams: group users for assignment, schedule grouping, map rosters, and reporting filters.

Important account effects

  • Active and Schedulable are different. An active user can sign in; a schedulable user can receive scheduled work.
  • Turning off Schedulable removes that user from incomplete work.
  • You cannot deactivate your own account.
  • Activating users beyond the plan allowance requires agreement to additional cost.
  • A user's email cannot be changed after they accept the invitation; use User Profile for your own editable email.

Recommended order

  1. Create least-privilege roles.
  2. Create useful teams.
  3. Add users and assign both.
  4. Verify access with a representative workflow.
  5. Resend an invitation when needed instead of creating a duplicate account.
