Create Roles with Least Privilege

Design role permissions so each team member has only the access they need to do their job.

What you'll do

Create practical custom roles and avoid over-permissioning users.

Before you begin

Open Users Settings - Roles.

Follow these steps

  1. Open Onboarding and select Create roles and add your employees.
  2. Go to Users Settings - Roles.
  3. Create role profiles by responsibility (for example: dispatcher, technician, manager).
  4. Grant only the permissions required for each role's tasks.
  5. Assign roles to users and validate expected access.
  6. Return to Onboarding and confirm progress.

How you'll know it's done

You have at least one non-owner role and users can perform expected tasks without excess access.

If you get stuck

  • Too much access: remove broad permissions and retest.
  • Missing access: add only the exact permission needed.
  • Onboarding step open: confirm both role and active user conditions are met.
