What you'll do

Use Contacts as the customer identity record, keep related work together, and assign follow-up Tasks with clear due dates and owners.

Before you begin

  • You need permission to view or manage Contacts. Task creation and assignment require the matching Task permissions.
  • A Contact is the customer identity. An Opportunity is a separate sales or work prospect linked to that Contact.

Create or find a Contact

  1. Open Contacts from the sidebar.
  2. Search or filter the Contacts grid before creating a new record. Email addresses and phone numbers must be unique across live Contacts.
  3. Click Add Contact when the customer does not already exist.
  4. Add the customer's identity, primary phone or email, address, source, assigned users, Tags, and any other available attributes.
  5. Save the Contact, then open it to work with related Opportunities, Jobs, Quotes, Tasks, notes, invoices, subscriptions, forms, and communications.

A newly created Contact receives one open Opportunity with no Pipeline or Stage. Place that Opportunity when you are ready to track it on a sales board.

Create and finish a follow-up Task

  1. On Contacts, open the Tasks tab.
  2. Click Add Task.
  3. Enter a Task Name and optional Description.
  4. Choose the required Due Date and Due At time.
  5. Select one or more Assigned Users and, when useful, Associated Contacts.
  6. Save the Task.
  7. Use the status control or edit the Task and select Mark as completed when the work is finished. A completed Task can be marked incomplete again.

New Tasks default to the current user and tomorrow at 8:00 a.m., but you can change both. Overdue status is calculated from the due date and completion state; it is not a separate status you set.

Archive, delete, or merge carefully

  • Archive removes a Contact from the default grid but preserves the record and related history. Archived Contacts can restore visibility.
  • Delete is a separate permanent action and can affect related data. Use it only when retention is not required.
  • The permission-gated Merge tab finds possible duplicate Contacts. Choose the master identity and review the relationship counts before confirming. A merge keeps the union of Opportunities, Jobs, Quotes, invoices, subscriptions, Tasks, and conversations, then archives the secondary Contact.
  • To undo a recorded merge, use Past Merges. Simply restoring the archived secondary Contact does not move merged records back.

How you'll know it's working

  • The Contact opens from the grid and its related tabs show the expected records.
  • The Task appears on the Tasks tab with the correct assignees and due time.
  • Completed, Incomplete, and Overdue presentation changes as the due date and completion state change.
