Create, Filter, Export, and Schedule Reports

Create runnable Reports, distinguish saved macro filters from temporary grid search, export results, and schedule delivery.

What you'll do

Create a Report from an available template, run it with reusable filters, export the result, and optionally schedule delivery to authorized users.

Before you begin

You need Reporting permission. Only templates that have a current executable query appear in Create Report; a template name elsewhere in the product does not mean that Report is runnable.

Create and run a Report

  1. Open Reports.
  2. On All, click Create Report.
  3. Search for a Template, enter a Report Name, and click Create Report.
  4. Set the Report's macro filters, such as date range, employee, team, Tag, checklist, or other template-specific controls.
  5. Click Run Report to view the current result.
  6. If you want those macro filters to become the saved defaults, click Save Changes after changing them.

Save Changes stays disabled until the macro filters differ from the saved version. Running a Report does not by itself save the filters.

Understand the two filter layers

  • Macro filters above the grid change the Report query. They can be saved, and they are used by Export and future schedules.
  • Grid search and sort narrow the currently displayed table. They are temporary and are not written to the Report's saved macro filters.

An export follows the effective macro filters. Do not assume a temporary grid search is also applied to the exported file.

Export results

  1. Set and run the macro filters you need.
  2. Click Export.
  3. Review the downloaded file and confirm the date range and other saved/query filters match your intent.

An implemented Report with no matching rows shows an empty result. An unavailable template shows a separate unavailable state rather than trying to run.

Schedule delivery

  1. Open a saved Report and click Schedule.
  2. Enter the Email Subject and choose Dynamic or Static.
  3. Choose the schedule's date behavior and whether to attach PDF and/or spreadsheet CSV.
  4. Under Cadence, set one or more repeat intervals, weekly day when applicable, and Time of Day.
  5. Choose whether to Use recipient timezones. When enabled, each recipient uses their profile timezone; otherwise the business primary timezone is used. The business timezone is also the fallback for a recipient without one.
  6. Select Recipients.
  7. Enable Restrict recipients to their own data only when the selected template supports isolation.
  8. Click Save Schedule.

Static delivery preserves the generated snapshot. Dynamic delivery reruns the Report when an authorized recipient opens the delivered run, so later matching data can appear. Scheduled runs preserve warning or error evidence and recipients can open and export the runs they are allowed to see.

If you change macro filters but do not save them, Schedule warns that the unsaved changes will not be used.
